Position: Multi-Residence House Manager (NYC local )
Location: New York City, NY (primary base) with regular travel to East Hampton, NY; Bel Air, CA; and Aspen, CO
Reports to: Principals
Supervises: Individual property managers, chefs, household staff, contracted vendors
Position Summary
The Multi-Residence House Manager will serve as the senior operational leader across the family’s portfolio of luxury residences, including:
- 10,000 sq. ft. condo – New York City, NY
- 17,000 sq. ft. beachfront estate + 3,000 sq. ft. guest house – East Hampton, NY
- 30,000 sq. ft. estate on 4 acres – Bel Air, CA
- 8,000 sq. ft. home – Aspen, CO
The role oversees the seamless operation of all properties, ensuring exceptional standards in service, maintenance, and guest experience. The ideal candidate will combine a refined sense of hospitality with strong organizational, leadership, and budget management skills.
Key Responsibilities
Operational & Staff Management
- Lead, mentor, and evaluate the 27+ household staff, including individual house managers, ensuring excellence in performance and service delivery.
- Oversee recruitment, training, scheduling, compensation planning, and quality control for all household personnel.
- Create and maintain comprehensive household manuals for each property, including SOPs, emergency protocols, and vendor contacts.
Maintenance, Projects & Capital Expenditures
- Direct all preventive maintenance, repairs, and upgrades across properties, coordinating with local managers and vendors.
- Oversee capital improvement projects (planning, bidding, execution, quality assurance) while maintaining strict timelines and budgets.
- Maintain accurate records of all projects, warranties, and equipment.
Hospitality & Event Oversight
- Ensure flawless execution of private dinners, charity events, and family gatherings, with meticulous attention to guest experience, table settings, and service flow.
- Supervise wine service, including pairing and inventory management for the family’s extensive wine collection.
- Coordinate with chefs and event staff to deliver exceptional dining experiences, from menu planning to service.
Collections & Asset Care
- Work closely with specialists to manage, protect, and catalog art, wine, and furniture collections, ensuring proper storage, display, and conservation.
Financial & Administrative Management
- Collaborate with the family office to prepare and oversee annual maintenance, operations, and capex budgets.
- Track expenses, approve invoices, and ensure budget compliance across all residences.
- Negotiate vendor contracts to secure competitive pricing without compromising quality.
Qualifications & Experience
- Minimum 10 years in luxury estate or multi-property management with ultra-high-net-worth families.
- Proven ability to manage large teams across multiple locations.
- Expertise in luxury hospitality service, fine dining, and event coordination.
- Strong budgeting, project management, and vendor negotiation skills.
- Knowledge of art, wine, and luxury asset care preferred.
- Discretion, confidentiality, and excellent interpersonal skills are essential.
- Flexibility for frequent travel and availability outside standard business hours.
