Personal Assistant

Location: New York, NY (In-Person, Private Residence)
Schedule: Monday–Friday, 8:30/9:00 AM–6:00 PM (flexibility required; 24/7 on-call mindset)
Travel: Up to 10 weeks/year, including 4 weeks in Southampton through Labor Day weekend; additional travel as needed
Compensation: Commensurate with experience
Benefits: Considered for monthly stipend + annual bonus after one year

Overview:
A private individual in New York seeks a polished and organized Personal Assistant to provide full-time, in-person support for herself and her two daughters (who are in college and high school). The ideal candidate is highly trustworthy, adaptable, and capable of managing a fast-paced household with discretion, professionalism, and efficiency.

Key Responsibilities:

  • Provide personal and administrative support for principal and family, coordinating with staff, schools, vendors, and office personnel.

  • Manage calendars, appointments, household and travel itineraries.

  • Oversee household operations, including staff supervision, property upkeep, inventories, vendor management, and guest readiness.

  • Handle budgets, bookkeeping, expenses, and insurance matters.

  • Run errands, manage gifting, pantry, and medication.

  • Arrange domestic and international travel, packing, wardrobe organization, and stylist coordination; travel with principal as needed.

  • Coordinate daughters’ schedules, appointments, extracurriculars, and travel; provide transportation as needed.

  • Plan and assist with events, including dinner parties.

  • Maintain contact databases and manage annual family mailings.

  • Liaise with accountants, financial advisors, and service providers; execute financial transactions as directed.

  • Troubleshoot household technology and A/V systems.

  • Recruit, train, and supervise household staff; manage onboarding, scheduling, and payroll.

  • Submit daily reports on completed and pending tasks.

  • Maintain valid driver’s license, passport, and comply with health and safety protocols.
     

Qualifications:

  • 5–7+ years supporting a UHNW individual or private household.

  • Exceptional organizational, communication, and multitasking skills.

  • Warm, professional, service-oriented demeanor with a strong backbone.

  • Highly trustworthy, discreet, dependable, and calm under pressure.

  • Tech-savvy with attention to detail and strong follow-through.

  • Local to New York and able to work fully in person.

  • Valid driver’s license and reliable transportation.
