EXECUTIVE PERSONAL ASSISTANT - PRIVATE FAMILY

Location: Denver, Colorado (In-Person)

Salary: $90,000-$110,000 DOE + Benefits

A private family in Denver is seeking an exceptional Executive Personal Assistant (EPA) to provide highly personalized, proactive support to the female principal across her personal, family, household and executive life. This is a hands-on position for someone who genuinely enjoys making another person's life easier. The ideal candidate is highly organized, resourceful, discreet and dependable, and can move seamlessly between managing a complex calendar, handling correspondence, organizing personal spaces, preparing for travel, running errands, researching purchases and responding to unexpected priorities. The EPA's primary responsibility is to protect the principal's time, attention and bandwidth by anticipating needs and ensuring details are handled from start to finish.

THE ROLE

Responsibilities include, but are not limited to:

• Calendar & Schedule Management: Own the principal's calendar across personal, family, medical, social and business commitments. Schedule and confirm appointments, anticipate conflicts, account for travel and preparation time, and ensure the logistics surrounding each commitment are addressed.

•Inbox & Communications: Monitor designated inboxes, identify time-sensitive matters, organize correspondence, draft responses and follow up on outstanding items.

• Personal & Lifestyle Support: Handle shopping, ordering, pickups, returns, gifting, alterations, dry cleaning, appointments and other personal errands. Research products and services and execute purchases when authorized.

• Personal Organization: Assist with closets, wardrobe, packing and unpacking, storage, personal belongings, seasonal organization and other hands-on projects across the family's residences.

• Travel & Events: Coordinate travel logistics, reservations, itineraries, transportation, documents and packing preparation. Assist with events and occasionally travel with the principal or family as needed.

• Personal Administration: Maintain personal records and files, track renewals and deadlines, complete forms, organize documents, make calls, conduct research and manage administrative matters through completion.

• Family Coordination: Maintain awareness of children's schedules and household operations as they affect the principal, ensuring appropriate support and logistics are in place for her commitments.

• Team Coordination: Work closely with the House Manager, household staff, family office, professional advisors and other team members to communicate needs and coordinate execution.

• Special Projects: Support personal projects, property-related matters, events, purchases, moves and other priorities as they arise.

• Task Ownership & Follow-Through: Maintain an active task list, track open items, appropriately delegate when needed, verify completion and provide concise updates on matters requiring the principal's attention or decision.

RELATIONSHIP TO HOUSEHOLD MANAGEMENT

The family employs dedicated household professionals. The EPA works closely with the House Manager and household team but does not manage household staff or own routine employee scheduling. The EPA should maintain enough visibility across the family and household calendars to identify anything that may affect the principal and proactively ensure gaps are addressed with the appropriate team member.

WHO WILL THRIVE IN THIS POSITION

We are looking for someone who:

•Is naturally proactive, anticipates needs and notices details others miss.

• Has a hospitality mindset and takes genuine satisfaction in anticipating needs, creating ease for others and delivering a high level of personal service.

• Understands the difference between completing a task and owning an outcome.

• Creates strong systems and does not rely on the principal to repeatedly follow up or provide reminders.

• Can turn a verbal request, text message or passing thought into reliable action.

• Remains calm, resourceful and solutions-oriented when priorities shift.

• Exercises excellent judgment about what to handle independently, what to delegate and what requires escalation.

•Is comfortable delegating while remaining accountable for the final result.

• Enjoys both administrative work and hands-on personal assistance.

•Is technologically proficient and learns new platforms quickly.

• Communicates clearly, professionally and concisely.

•Is discreet, emotionally intelligent and understands the sensitivity of working within a private family.
•Is comfortable working around children, household staff and pets.

•Is bilingual in Spanish (required) and English.

SCHEDULE & FLEXIBILITY

This is a full-time, in-person position based in Denver, Colorado. Candidates must live locally or be willing to relocate.

The role has a regular working schedule and appropriate time off, but flexibility is essential in a dynamic private-family environment. Occasional early mornings, evenings, weekends or schedule adjustments may be required when unexpected or time-sensitive needs arise.

This is not a 24/7 on-call position; however, candidates seeking a highly rigid schedule or requiring substantial advance notice for schedule changes are unlikely to be successful in this role.

Occasional domestic and international travel is required.

QUALIFICATIONS

Relevant experience may come from private service, executive support, luxury hospitality, high-end restaurant or hotel operations, VIP/concierge services, or another high-touch, service-driven environment. Private household experience is welcomed but is not required.

We are especially interested in candidates who have worked in fast-paced environments where anticipating needs, coordinating complex logistics, managing competing priorities, providing exceptional service and solving problems independently are essential to success.

Demonstrated judgment, organization, discretion, service orientation, resourcefulness and follow-through are more important than a particular job title or traditional career path.

Candidates should have:

• Excellent calendar, organizational and task-management skills.

• Strong written and verbal communication.

• High technological proficiency, including Google Workspace and modern productivity tools.

• Strong logistical, research and problem-solving abilities.

• A high level of emotional intelligence and service orientation.

• Spanish/English bilingual fluency.

• Valid driver's license and clean driving record.

• Ability to pass comprehensive background and reference checks.

• Ability to maintain strict confidentiality and execute an NDA.

• Legal authorization to work in the United States.

• Bachelor's degree or equivalent professional experience preferred.

COMPENSATION & BENEFITS

$90,000-$110,000 annually, depending on experience and demonstrated capabilities.

The family offers a competitive benefits package, paid time off and opportunities for long-term professional growth.

This is intended to be a long-term position for someone who wants to develop a trusted working relationship with the principal and become an integral part of a collaborative private-family team.

WHAT SUCCESS LOOKS LIKE

Success means reducing the principal's mental load.

The principal should not need to remember to remind the EPA. Important communications are surfaced, appointments are fully prepared for, calendar commitments have the necessary logistics behind them, delegated work is verified, and potential problems are identified before they become emergencies.

Over time, the EPA should develop a strong understanding of the principal's preferences, rhythms and priorities, allowing them to anticipate needs and create greater ease, organization and efficiency in her daily life.
